"What Should a Perth Business Automate First? A Practical 2026 Guide"
"The first things a Perth small or mid-size business should automate are lead follow-up, quoting, invoicing and reminders. Here is how to pick, in what order, and what it costs."
Short answer: most Perth businesses should automate four things first: answering new enquiries, sending quotes, chasing invoices and sending reminders. They happen every day, follow the same steps every time, and when they are late you lose money or customers. Automating them usually needs no new software, just connecting the tools you already pay for.
This guide explains how to choose what to automate in your own business, the order we recommend, and what to expect in cost and time. We are EAXIS, a Perth-based team that builds automation, websites and cybersecurity for small and mid-size businesses.
How do you decide what to automate?
Do not start with the tool. Start with a list of the tasks your team repeats. For one week, write down every task that is done more than twice and note three things:
- How often it happens (per day or per week)
- How many minutes it takes each time
- What goes wrong when it is late or done incorrectly
Multiply frequency by minutes to get the hours each task costs per month. The best first candidates are tasks that are frequent, follow the same steps every time, and are expensive when they fail. Tasks that need judgement, negotiation or a personal touch are better left to people, or only partly automated.
The four automations most Perth businesses should start with
1. Answering new enquiries within minutes
A customer who fills in your website form or sends a message after hours usually contacts two or three businesses. The first one to reply often wins the job. An automated workflow can confirm the enquiry straight away, record it in your CRM or a simple spreadsheet, and alert the right person on their phone if it looks urgent or valuable.
Perth is on AWST with no daylight saving, so if you also work with clients on the east coast or overseas, an automatic first reply covers the hours when your team is not online.
2. Quotes and proposals
If your team builds every quote from scratch, a template connected to your price list can produce a draft in minutes. The workflow can then send it, remind the customer if they have not opened it after a few days, and notify you when it is accepted.
3. Invoicing and payment reminders
Most Australian businesses already use Xero or MYOB. Both can be connected to your job or sales system so invoices are created automatically when work is completed, and polite reminders go out on a schedule when payments are overdue. This is one of the fastest automations to pay for itself, because it directly improves cash flow.
4. Appointment and job reminders
Missed appointments and no-shows cost time you cannot recover. Automatic SMS or email reminders the day before, with an easy way to reschedule, reduce them. The same workflow can send a review request after the job is done, which also helps your visibility on Google.
What comes after the first four?
Once the basics are running, the next layer depends on your industry:
- Trades and construction: job scheduling, site photos and job notes, supplier orders
- Hospitality: bookings, rosters, stock ordering and review management
- Professional services: client onboarding, document collection, compliance reminders
- Retail and e-commerce: stock alerts, order updates and returns
We cover trades and hospitality in more detail in separate articles on our blog.
Should you use AI or just automation?
They are different things. Automation follows fixed rules: when this happens, do that. AI is useful when the input is messy, for example reading an email to work out what the customer wants, summarising a long document or drafting a first reply. Most businesses get the biggest gain from simple automation first, and add AI only where a person currently has to read and interpret something.
What about security and privacy?
Automation moves customer data between systems, so it must be set up carefully. The Australian Privacy Act and the Notifiable Data Breaches scheme apply to many businesses, and even businesses that are exempt are still responsible for protecting their customers' information. Use accounts with the minimum access each workflow needs, keep a record of what data goes where, and make sure someone is alerted when a workflow fails.
At EAXIS, security is included in every project rather than sold as an extra, because a workflow that leaks data costs far more than it saves.
How much does it cost and how long does it take?
A single workflow, such as automatic enquiry replies or invoice reminders, can usually be running within a week or two. Our packs start at around AUD $5,000 for the Launch Pack and are quoted as a fixed price per pack, with no hourly billing. Most of the tools involved, such as Xero, Google Workspace or Microsoft 365, are ones you already pay for.
Where to start this week
- List the tasks your team repeats and estimate the hours each costs per month.
- Pick the one that is frequent, follows the same steps and hurts when it is late.
- Check which of your current tools already have an automation or integration option.
- Automate that one task, measure the result for a month, then move to the next.
If you would like help, we offer a free 30-minute discovery session for Perth businesses, in English or Spanish. We will look at your list with you and tell you honestly which tasks are worth automating and which are not.
